Job Summary
Â
The Division Administrative Operations Manager is responsible for leading and optimizing administrative and operational support functions across the division. This role ensures consistent execution of business processes, financial discipline, and operational efficiency to support branch performance, safety compliance, and customer service excellence.
Working closely with Division Leadership and Branch teams, this position plays a critical role in driving standardization, accountability, and continuous improvement across administrative functions.
What You'll Do:
- Lead and coordinate all divisional administrative functions across multiple locations.
- Drive consistency and adherence to company policies, procedures, and standard operating practices.
- Identify operational inefficiencies and implement scalable process improvements.
- Support integration of acquisitions and alignment to company systems and processes.
- Oversee branch-level administrative execution related to invoicing, inventory, accounts receivable/payable, and expense management.
- Partner with Finance to ensure accuracy, timeliness, and integrity of financial data.
- Support P&L performance through disciplined cost control and process efficiency.
- Assist in budgeting, forecasting, and variance analysis processes.
- Lead, coach, and develop administrative teams across the division.
- Establish clear expectations, performance standards, and accountability.
- Support recruitment, onboarding, and training of administrative personnel.

- Ensure all administrative processes support and reinforce a strong safety culture.
- Maintain compliance with regulatory requirements and internal policies (including credit, audit, and documentation standards).
- Support audit readiness and follow-up on corrective actions.
- Champion the effective use of SAP and business systems across the division.
- Lead implementation of new tools, technologies, and reporting processes.
- Drive data accuracy and reporting consistency to support decision-making.
- Act as a key liaison between Operations, Finance, Credit, Logistics, and Commercial teams.
- Support branch managers in resolving administrative and operational challenges.
- Provide leadership with insights, reporting, and recommendations to improve business performance.
What You'll Bring:
- Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Experience: Minimum of 5 years of administrative experience, preferably within a corporate or branch-specific setting. Experience in project management, training, and process improvement is a plus.
- Skills: Proficiency in Microsoft Office Suite, strong organizational and time-management skills, excellent interpersonal and communication abilities, ability to handle confidential information with discretion, strong analytical and problem-solving skills, familiarity with budget management and financial documentation

The salary range for this role, in Southwest, CA Division, is between $71,900 - $95,000. While we provide this range as general guidance, several factors are taken into consideration when making compensation decisions including, but not limited to, candidate skill set, experience and training, licensure and certifications, work location, and other business and organizational needs. Actual salary and benefits may differ based upon location.

In addition to base pay, this role is also eligible to participate in our annual incentive plan, consistent with the terms of our program(s) where discretionary pay out of awards is reflecting components such as performance of the company and the employee.  Details will be discussed through the application process.Â
