This temporary role is responsible for accurate and timely processing of tasks related to customer invoicing within a warehouse environment. This is a temporary position from October to December. 

 

What You Will Do:

  • Coordinate, monitor and invoice customer billing.
  • Ensure invoicing is up to date within two days.  
  • Verify accuracy of billing data, promptly resolving errors.  
  • Mail out invoices and email any special requests to customers (proof of delivery tickets, invoice copies, miscellaneous documentation).
  • Maintain accurate files for all customer billing, proof of delivery, and any other paperwork generated through Logistics.  
  • Follow up on Accounts Receivable Invoicing with customers as necessary.  
  • Communicate with customers via fax, phone and email to provide exceptional service.  
  • Verify all proof of delivery documents and match trip & contract itineraries on a daily basis. 
  • Consult with Logistics Manager on freight rates, policies, and special contract terms.
  • Audit, approve, and process all carrier/vendor invoices for payment with attention to detail.
  • Reconcile month end A/P statements, reconciling discrepancies with carriers/vendors.
  • As needed, assist Logistics Coordinators with completing loading maps, building contracts & itineraries within SAP, and processing carrier faxes.
  • Assist with freight booking.
  • Match and audit all proof of deliveries for any freight characteristic discrepancies with bill of ladings confirmed in SAP TM; notify supervisor and appropriate colleagues of exceptions as necessary. 
  • Embrace a safety-mindset, committing to safe work practices through Key Daily Actions.
  • Demonstrate willingness and enthusiasm to complete additional tasks to meet business objectives.

 

What You Will Bring:

  • A high school diploma or equivalent certification is required.
  • Basic proficiency in Microsoft Office Products (Word, Excel, Outlook, and TEAMS).
  • Skilled in employing critical thinking to effectively solve problems.
  • Collaborative approach to working with colleagues across the organization.
  • Demonstrate adaptability in a deadline driven environment with competing priorities.
  • Proven capability to build and maintain positive working relationships with internal and external contacts.
  • Previous work experience within warehousing or logistics function is an asset.
  • Proficiency in SAP is a bonus.
  • Bookkeeping or accounting experience is preferred.
