The successful candidate will support the Region Manager and their team. As an experienced executive assistant, you will work closely alongside the Region Manager as their trusted confidant, supporting the delivery of exceptional quality support and services to internal and external stakeholders.  

 

What You'll Do:

  • Provide confidential executive administrative support for Region Manager including calendar and email management, report generation, expense management, and general administrative tasks
  • Provide administrative support to Canada leadership team
  • Schedule and coordinate travel for the Region Manager and team including airfare, car rental and hotel accommodations
  • Coordinate and schedule requests for meetings from a wide range of people (other executive offices and core team members)
  • Keep calendars and vacation schedules up to date
  • Assist the region in bill processing/accounts payable transactions
  • Coordinating large-scale meetings for the Canadian leadership team, including venue coordination, budget tracking, travel and meal arrangements
  • Book and set up meeting rooms (coffee/lunch/IT equipment)
  • Navigate multiple systems and software programs, including SharePoint, Oracle, Global Business Travel, SAP, eZL, and Chrome River
  • Learn and grow through collaboration and providing support across the Canada retail team
  • Constantly seek ways to improve efficiency and processes within the department
  • Represent the team in a personable and professional manner

What You'll Bring:

  • An Associate or College certificate or equivalent training in Business, Communication or another related field is preferred
  • 5+ years of experience providing comprehensive and confidential administration support for senior management level
  • Possesses strong organizational skills that reflect the ability to perform, and take ownership of the position, as well as to prioritize multiple tasks seamlessly with excellent attention to detail
  • Proven ability to meet multiple and/or unexpected deadlines in a demanding environment
  • Adept at building strong and trusted relationships with a broad range of people both internally and externally
  • Demonstrated professionalism and maturity in interactions and the ability to apply sound judgement in a variety of situations
  • Excellent writing, editing, grammatical, editing and oral communication skills with superior attention to detail
  • Strong critical thinking skills, ability to prioritize, and maintain a realistic balance among multiple priorities with minimal supervision
  • Strong results orientated team player with the ability and willingness to assume hands-on roles
  • Working knowledge of SAP and Oracle ERP systems and asset
  • Highly proficient in MS Office including Word, Excel, PowerPoint, Visio, SharePoint, and Outlook
