Executive Assistant, Potash Operations Saskatoon, CA  

 

Reporting to the Senior VP, Potash Operations, Potash, the Executive Assistant will be responsible for providing administrative support for the department. This position is located in Saskatoon, Saskatchewan and is not available for remote work.

 

What you will do:

 

  • Provide confidential executive administrative support for SVP Potash Operations including calendar and email management, report generation, expense management, and general administrative tasks
  • Provide administrative support to the SVP Potash Operations direct reports
  • Schedule and coordinate travel for the SVP, Potash and team including airfare, car rental and hotel accommodations
  • Coordinate and schedule requests for meetings from a wide range of people (other executive offices, core team members, mine sites and business affiliates).
  • Coordinate and schedule mine tours from a wide range of people (other senior leaders, core team members, etc.)
  • Keep calendars and vacation schedules up to date
  • Manage financial processes for the department including budget preparation and tracking, coordinating purchase orders and requisitions, and routing inter- and intra-departmental invoices and expenses
  • Assist in logistical planning for larger Potash-wide events
  • Book and set up meeting rooms (coffee/lunch/IT equipment)
  • Navigate multiple systems and software programs, including SharePoint, Oracle, Global Business Travel, and Chrome River
  • Work closely with the Executive Assistant, Potash Engineering, Technology and Capital and provide coverage when required
  • Learn and grow through collaboration and providing support across the Potash team
  • Constantly seek ways to improve efficiency and processes within the department
  • Represent the team in a personable and professional manner

 

What you will bring:

 

  • Post-secondary diploma/degree in Business Administration or equivalent experience strongly preferred
  • Minimum 5+ years related experience in an administrative role required, supporting senior-level leaders
  • Advanced computer skills and working knowledge of Microsoft Suite (Excel, Word, PowerPoint)
  • Demonstrated strong organizational skills
  • Strong written and oral communication skills
  • Simple analytical and accounting skills
  • SAP/Oracle and SharePoint skills preferred
  • Effective presentation development in PowerPoint
  • Continuous improvement mindset
  • Ability to coordinate large functions and group events
  • Ability to handle and respect confidential information
  • Effective time management and ability to prioritize
  • Proven track record of reliability
  • Detail oriented and proactive and willing to work for each member of the team
  • Work well under pressure
