The Legal Assistant provides comprehensive administrative and legal support to lawyers and other stakeholders within our corporate legal department. This role requires a high degree of confidentiality and meticulous attention to detail. The Assistant will be responsible for managing a variety of tasks including legal documentation, file management, invoice payment, budget and expense preparation and tracking, assistance with travel/expense arrangements for lawyers and other tasks as required. This is also a key support role for co-ordination of meetings, materials and other assistance for the operations of the Board of Directors.
The Legal Assistant will also collaborate with the Global Legal Operations Manager/ other members of the Global Legal Operations team to identify and action opportunities to improve processes across the legal function. This is a full-time on-site, permanent role, based in Nutrien’s Saskatoon, Saskatchewan office.
What you will do:
- Schedule and prioritize meetings across time zones, manage multiple executive calendars, and prepare daily agendas/reminders.
- Coordinate complex domestic and international travel itineraries (flights, hotels, ground transport), and handle travel expense reports and adjustments.
- Act as point of contact between legal executives and internal/external stakeholders, draft correspondence, and ensure clear communication flow across departments.
- Trusted to handle sensitive legal documents and information with discretion, with meticulous attention to detail and accuracy.
- Advanced in MS Office (Word, Excel, PowerPoint, Outlook, SharePoint, Visio) and familiar with SAP and contract management systems. Ability to quickly gain proficiency with other technology tools.
- Assistance with compiling and submitting information to meet regulatory reporting requirements.
- Support preparations of board meeting agendas and reference materials, and support with logistics for Board of Directors and executive leadership meetings as needed.
- Support the evaluation and implementation of new legal technologies.
- Assist with assembly/review of legal documents and file management.
- Organize, maintain, and facilitate accessibility of legal records, including those kept in legacy systems.
- Assist with billing, invoicing and budgeting.
- Provide other administrative support across the Legal function as required.
- Establish relationships and regularly liaise with key stakeholders across Legal and the broader global business.
- Act as ‘ears on the ground’ for the Global Legal Operations Manager and champion Legal Operations COE priorities.
- Abide by EH&S policies and procedures.
- Maintain up-to-date knowledge of Company policies and relevant legislation.
What you will bring:
- Post-secondary education or equivalent experience.
- Familiarity with legal invoicing and billing processes and management systems.
- Paralegal certificate, similar training, or demonstrated experience working with legal documentation.
- Demonstrated success in a legal admin role.
- Sound corporate judgement – the role reports to an overseas manager while considering the needs of other important local stakeholders. You know when to be pro-active and decisive, and when to consult/defer to others.
- Organized and able to manage priorities and stakeholder expectations and collaborative relationships. Can extract actions from a problem and follow through to completion on schedule.
- High technological competency. You can quickly learn, understand and operate unfamiliar tech systems.
- Familiarity/curiosity with legal tech/AI/processes.
- High emotional intelligence and collaborative mindset. Clear and concise written and verbal communication.
- Willing to be flexible with time to accommodate timezone requirements or urgent deadlines.
