This position is currently based in Willow Park, TX; however, the office will be relocating to Lubbock, TX. Candidates should be prepared to transition to the Lubbock location.

 

 

What You'll Do:

 

An individual contributor overseeing the Operations functions at the division level

 

      • May indirectly manage a team of employees, assisting with training, scheduling, performance feedback, hiring, firing and promotions
      • Ensures that the division operates in compliance with company policies and procedures, as well as relevant regulations
      • Manages the procurement, allocation, and inventory of resources to support operational needs
      • Collaborates cross-functionally to ensure cohesive and efficient operations at the division/region
      • Optimizes processes, troubleshoots problems, and implements improvements to enhance productivity and reduce costs
      • Provide comprehensive administrative support to division leadership, Branch Managers, Branch Admins, and Customer Service Representatives
      • Serve as a liaison between the branch, division, and customers, facilitating effective internal and external communications
      • Oversee the preparation of reports and documentation for management review, maintaining accurate and up-to-date records and files
      • Identify opportunities to streamline administrative processes and implement improvements, ensuring compliance with company policies and procedures
      • Address and resolve billing issues within the branch, preparing and presenting regular reports on billing activities to Division Management
      • Handle customer complaints promptly and effectively, ensuring customer satisfaction
      • Monitor and manage inventory issues for all locations within the branch
      • Address Transaction Authorization Processing (TAP) issues for the branch
      • Provide training and support on ARS (Automated Reporting System), TAP, SAP, and other systems
      • Develop new procedures to enhance operations and collaborate with managers and employees to implement changes
      • Work with IT and other departments to integrate new technologies and systems to improve billing processes and overall efficiency

What You'll Bring:

 

  • Education: Bachelor’s degree in Business Administration, Management, or a related field preferred
  • Experience: Minimum of 5 years of administrative experience, preferably within a corporate or branch-specific setting. Experience in project management, training, and process improvement is a plus
  • Skills: Proficiency in Microsoft Office Suite, strong organizational and time-management skills, excellent interpersonal and communication abilities, ability to handle confidential information with discretion, strong analytical and problem-solving skills, familiarity with budget management and financial documentation
  • Additional Information: 
    • This position requires occasional travel and flexibility to work extended hours as needed
    • The role may evolve based on the needs of the branch and the company
